GREY STREET HIDEAWAY – ACCOMMODATION TERMS & CONDITIONS
STANDARD TERMS AND CONDITIONS:

AGE
Bookings are only accepted from persons aged 18 years or over.
The person making the booking MUST be staying at the Grey Street Hideaway. We will not accept bookings from one person on behalf of another. If you have booked on behalf of someone else or want to, contact us at the Cambridge Mews Motel on (07) 827 7166 to discuss options. If the booker is not the registered guest, a grace period of 24 hours applies for free cancellation. If a guest contacts us outside 24 hours, then our standard cancellation policies apply.

ADDITIONAL GUESTS/EXTRA BED POLICY
It is parents’ responsibility to supervise children. If additional beds/bedding is used, extra person rates will apply. Beds unnecessarily used which have not been included in the tariff, will be charged for.

BOOKING DEPOSITS AND SECURITY BOND
At the time of booking, an accommodation deposit may be taken, or full payment required as advised to confirm a reservation. A security deposit (up to $1000) may also be required if a valid credit card is not provided. The security deposit is fully refundable to the remitting bank account or credit card, however, should any additional charges be incurred during the stay these will be deducted from the security deposit and the balance where available will be refunded. The accommodation and security deposits may vary depending on the rate plan, stay dates, the length of the stay and security requirements for the booking.

BUSINESS CONDUCTED ONSITE
NO business is to be conducted by any persons on the premises unless it has been disclosed prior to check-in and has the written approval of Management. No exceptions.

CANCELLATION POLICIES
FOR ALL BOOKINGS
- Bookings are not confirmed until the reservation is secured as advised, either by a deposit payment of 20%, payment of the first night’s accommodation, or the provision of a valid credit card.
- Full payment is required at seven (7) prior to arrival as advised.
- “No-shows” and reservations shortened once checked in – the full accommodation cost is payable.
- Notice of cancellation must be received in writing or by email.
In addition – for stays SHORTER than 14 days (two weeks):
- When booking through third party websites: Cancellations less than 14 days prior to arrival/roll over date – the full accommodation cost is payable.
- When booking directly through our website or by telephone or email: Cancellations less than 7 days prior to the arrival/roll over date – the full accommodation cost is payable
In addition, for extended stays LONGER than 14 days (two weeks):
- All cancellations at 14 days or closer to arrival/roll over date – the full accommodation cost is payable.
We advise you to consider the risk of Covid-19 and extreme and forecast weather events, as they are known risk factors when planning and travelling. We recommend that you take appropriate Domestic Travel Cancellation Insurance from your Insurance provider. If your plans change or you are unable to travel for any reason, you can cancel free of charge until the period of free cancellation expires. If there is a chance you may not be able to travel we urge you to cancel before the expiration of the free cancellation period, otherwise our cancellation policies below stand, and you may not be entitled to a refund. Failure to notify us of a cancellation will incur full cancellation costs

CHECK-IN/CHECK-OUT TIMES AND KEY PICK UP LOCATION:
Check-in time is from 3.00pm until 8.00pm Monday to Friday and until 6.00pm on weekends and Public Holidays. Check-out time is 10.00am unless by prior arrangement. Please arrange an early/late check-in/out when you make your reservation, subject to availability. Additional fees apply.
Key Pick Up: Cambridge Mews, 20 Hamilton Road, Cambridge 3434 – Grey Street Hideaway is operated by the owners of the Cambridge Mews Motel. Key pick up is from the motel reception.

CLEANING
- Grey Street Hideaway is a self-service accommodation option. As such, it is expected that guests will leave the property as they find it. There are cleaning kits in the kitchen and bathroom and there is a vacuum cleaner in the hall cupboard for guests use should they be required. If required, mops and buckets are in the garage. Management will provide a general clean and sanitise between guest bookings however we do not expect to clean up after guests. It is the guests’ responsibility to clean up after themselves and remove rubbish and recycling to the wheelie bins located in and next to the garage. If the Grey Street Hideaway requires additional cleaning by our staff after departure, the registered guest will be liable for an additional cleaning cost of $150.00.

CODE OF CONDUCT
We require all guests to conduct themselves in an appropriate manner while staying at the Grey Street Hideaway. This includes compliance with all Laws, Acts and Regulations and Local Authority By-Laws. Grey Street is a quiet residential street, and we expect consideration for our neighbours. We do not allow parties to be hosted at the property and we require all visitors to vacate the property by 8.00pm. The registered guest is responsible for all visitors and the consequences of their behaviour. We have the right to remove any guest (without refund) who is acting inappropriately or causing a disturbance. Inappropriate behaviour will be at the sole determination of the Manager.

COOKING
Please enjoy the cooking facilities available and please use the range hood to ensure good ventilation. We recognise some types of foods leave odours and need specialised cleaning. We ask that guests do not cook fish, shellfish or strong herbs and spices. If we need to remove such odours or if the kitchen or any fixtures or fittings are left stained by food or are in a particularly unclean or messy state, an additional cleaning fee of $150 will be charged to the registered guest. There is cleaning equipment for guests use. In addition, if the Grey Street Hideaway is unable to be sold as a result, the registered guest will be liable for the full accommodation tariff for bookings that must be cancelled or relocated.

DAMAGE OR LOSS TO GREY STREET HIDEAWAY PROPERTY
Damage to Grey Street Hideaway property should be reported immediately even if you regard the damage as fair wear and tear or if you do not believe the damage is your fault. We understand that accidents happen and if we are aware we may be able to minimise any further damage. Please look after our home. If on arrival, you discover anything is missing or damaged then please let us know straight away otherwise it may be presumed the damage/loss was caused by you or your guests/visitors. Assessments are done after guests have departed and the registered guest will be liable for any repairs or replacement costs.

DECLARATION
The registered guest acknowledges and agrees to the following statement:
“In consideration for accommodation provided, I agree that Grey Street Hideaway may retain my personal information and that any business conducted by me or any of my visitors on the premises has been disclosed prior to check in and is undertaken with the written approval of Management. I acknowledge that I am jointly and severally liable for any additional charges incurred relating to misuse of the property (accidental or otherwise) and policies not being followed. These include but are not limited to charges for lost keys and garage remote controls, additional guests staying, damage to fixtures and fittings, missing items, shortened-stay cancellation fees or additional cleaning charges where the cooking and smoking policies have been breached or where more extensive cleaning is required, and loss of income where the Grey Street Hideaway is unable to be on-sold. If I breach any policies or Term and Conditions and/or if illegal activity is suspected, I understand that I may be required to vacate the premises immediately and will do so if asked. I also acknowledge that costs may be incurred and that my details may also be reported to the Police and other relevant agencies in New Zealand. If my account remains unsettled after departure for longer than 14 days other than when agreed in writing by Management, the account may be sent for debt collection and cost recovery.”

GUEST BELONGINGS/LOST PROPERTY
Grey Street Hideaway takes no responsibility for guest or visitor belongings at any time. Perishable items left after check-out are discarded immediately. Personal belongings are held for a short period of time before being discarded or donated. If you think you have left something behind, contact us immediately.

IDENTIFICATION
Upon check-in, proof of identification and presentation of a valid Credit Card will be required for security. The Credit Card must be in the name of the registered guest. In the absence of a valid credit card at check in, a security deposit of up to $1000 will be required.

NOISE – VISITOR POLICY
If guests want to have a social gathering or party, we kindly ask that you do so elsewhere and can suggest some much better places in town. We ask that any visitors you might have leave by 8.00 pm sharp. Likewise, it is important to us that you enjoy every aspect of your stay so, if you find that the noise level from a neighbouring property is unreasonable, please call Noise Control at any time of the day or night on 0800 924 723, (24 hours a day), to make a complaint or enquiry. It is important to call when the noise is occurring, as the volume will need to be assessed.

PARKING
There is parking onsite. Grey Street Hideaway takes no responsibility for damage to cars or belongings left in cars.

PAYMENT, VISA/MASTERCARD SURCHARGES, RATES AND OVERDUE ACCOUNTS:
GUESTS may pay by direct credit to ARCAM Management Limited: 03-0905-0330610-00. Please use the booking last name, reservation number and arrival date as references. Direct credit payments must be received at least seven (7) days prior to the arrival date or as advised. We only accept Visa and Mastercard credit cards, and please note a transaction surcharge (including GST) is applied when paying by Visa or MasterCard. Please contact us for further details as this charge may vary in line with our Merchant Fees. Payment by EFTPOS or cash or in advance by direct credit to our bank account will not incur a surcharge.
We DO NOT accept Debit Cards as security to confirm reservations or the property during a stay. Rates advertised on our website include GST.
If remitting from overseas, the inward bank transfer fee of NZ$25 is payable by the guest and is in addition to the cost of accommodation. Please advise us if you are sending money through international transfer and we will provide further bank details. It is the guest’s responsibility to ensure the provider receives the correct amount.
All rates are quoted on a per night basis in NZ dollars and are for the number of people advised at the time of the booking, and the date(s) selected. If booking internationally, the price advertised might not be the same price paid to us due to exchange rate fluctuations. This means that because we are based in New Zealand, when you transfer funds to our account or make payment by credit card, there is a conversion to New Zealand Dollars, at the exchange rate on the day the payment is processed.
All accounts must be settled directly with ARCAM Management Limited. All accounts are payable prior to arrival except where noted. We reserve the right to charge overdue fees and/or recovery costs on all accounts not paid by the due date.

PETS
Guests are not permitted to bring pets to the Grey Street Hideaway. We are animal lovers, but not everyone is, and some people have severe allergies to pet hair and dander. Please find alternative “holiday accommodation” for your fur babies. N.B. This policy does not apply to guide or hearing dogs but please let us know when you book if you intend to bring a service dog with you.

Your privacy is important to us. It is our policy to respect your privacy regarding any information we may collect in the course of conducting business. Accordingly, we have developed this privacy policy for you to understand how we collect, use, communicate, disclose, and otherwise make use of personal information. We have outlined our privacy policy below.
We collect personal information from you, including information about your:

- contact information including telephone number, email, and physical address
- billing information
We collect your personal information in order to provide accommodation services, solely for fulfilling those purposes specified by us and for other ancillary purposes, unless we obtain the consent of the individual concerned or as required by law.
Before or at the time of collecting personal information, we will identify the purposes for which information is being collected. Providing some information is optional. If you choose not to enter the required information, we will be unable to take your reservation or provide accommodation to you.

SMOKING/VAPING/ILLEGAL SUBSTANCE USE
Grey Street Hideaway is strictly non-smoking and non-vaping. Smoking/Vaping is not permitted in the house, conservatory or garage, and illicit substance use is not permitted on the property, under any circumstances. For those wishing to smoke/vape, please do so outside and well away from any open doors or windows, as it is classed as a health hazard. We have a sand box outside for the considerate disposal of butts – please do not toss them into the garden or grass or leave them elsewhere as litter. This also creates a fire risk at any time of the year.
We have a P-Alert (Methamphetamine Alarm) installed in the house which will send an instant message to us if activated or tampered with. If we find any person engaging in illegal substance use (including marijuana), the NZ Police will be called to the property immediately and all occupants including registered guests will be require to vacate the property. The registered guest will forfeit all unused accommodation and any payments made in advance.
Any additional cleaning, any specialist cleaning (for example methamphetamine decontamination or other such specialised cleaning) or in the event of a Fire Department call-out, charges will be passed to the party responsible.
